Client Service Policies

  • Identification Requirement

    All signers must present a valid, unexpired government-issued photo ID (Driver’s License, State ID, Passport, Military ID) at the appointment.

    *Without valid ID, notarization cannot proceed as required by Texas law.

  • Witnesses

    Clients must provide their own witnesses if needed.

    Witnesses may be arranged by Klean Seal Notary for an additional fee with advance notice, if available.

    *All witnesses must present valid government-issued ID

  • Remote Online Notarization (RON)

    Remote Online Notarizations are available for clients located in Texas, out-of-state, or internationally.

    Identity verification through a secure platform is mandatory before any notarization.

  • Late Arrival

    There is a 10 minute grace period.

    Clients arriving between 11–19 minutes late will incur a $15 late fee which must be paid before services begin or continue.

    Arriving 20 minutes or more late will be considered a no-show, and the appointment automatically cancelled.

    Please understand that your appointment time is reserved for the accuracy, efficiency and care of your documents.

  • Cancellations & Rescheduling

    Cancellations and Reschedules made at least 3 hours prior to the scheduled appointment time will incur NO additional fees.

    Cancellations with less than 3 hours’ notice are non-refundable.

    Reschedules with less than 3 hours’ notice will incur a $25 rebooking fee.

    For emergencies, contact us directly.

    *No-shows without notice will be charged the full appointment fee + a $35 rebooking fee, if necessary

  • Deposits

    For select services, a non-refundable deposit is required to secure your appointment and will be applied toward the total service amount.

  • Refunds

    Notarization fees become non-refundable once the notarization process has begun.

    Travel fees, late fees, cancellation fees, and rebooking fees are non-refundable.

    No refunds will be provided for client no-shows, invalid ID, document errors, or unpreparedness.

  • Service Refusal

    I reserve the right to refuse service if:

    A valid ID is not provided.

    A signer appears unwilling, coerced, impaired, or unaware.

    The documents are incomplete, fraudulent, or suspicious.

    Fraud, threats, or illegal acts are suspected.

    *Any form of fraud or abuse towards the notary will result in client expulsion and/or prosecution

  • What is a Notary Public?

    A Notary Public is a state-appointed official authorized to witness and certify the signing of important documents, verify the identity of signers, and deter fraud.

  • What is Remote Online Notarization (RON)?

    Remote Online Notarization (RON) allows you to complete notarizations via secure video conference.

    Signers can be located anywhere as long as proper ID verification is completed.

  • Are you commissioned and insured?

    Yes. I am commissioned by the State of Texas and carry active Errors & Omissions (E&O) Insurance for your protection.

  • What areas do you serve?

    Mobile services are available throughout the Dallas and Fort Worth areas serving Dallas, Collin, Denton, and Tarrant counties.

    Remote Online Notarization services are available statewide and worldwide if requirements are met.

  • What types of documents can you notarize?

    I can notarize a wide range of documents. Please see our Full Services page to see all documents we can notarize.

  • What happens if I don’t have a valid ID?

    Per Texas law, notarization cannot proceed without a valid, unexpired government-issued photo ID.

    Examples of acceptable ID include: Driver’s License, Passport, State-Issued ID Card, U.S. Military ID.

  • What should I do to prepare for my appointment?

    Review all documents before the meeting — DO NOT SIGN before meeting the notary.

    Have your valid ID ready. If witnesses are needed, arrange them ahead of time.

    To avoid additional late fees or cancellations, please be on time for your scheduled appointment.

  • What do I need to bring to my appointment?

    A valid, unexpired government-issued photo ID (Driver’s License, Passport, State ID, or Military ID).

    All documents that need to be notarized (please review them before your appointment).

    Any witnesses required (unless you request witness services in advance).

  • Can you provide witnesses?

    Witnesses can be provided for an additional fee when arranged in advance.

    Texas law requires witnesses to be physically present (in person or remotely if allowed).

  • Can you notarize documents in a foreign language?

    Yes, I can notarize documents in other languages as long as:

    The notarial certificate (the section I complete) is written in English, and you (the signer) can communicate clearly with me in English.

  • Do you offer notarization for out-of-state or international clients?

    Yes! Through Remote Online Notarization (RON), I can notarize for clients outside of Texas and internationally if they meet identity verification requirements.

  • Do you charge travel fees?

    Yes, travel fees are applied for all mobile services. Fees are based on distance, time, and complexity of service.

  • What if I need special assistance?

    We are here to serve and give access to ALL our clients. Please let us know in your intake form or booking notes any special assistance needed. We offer mobile and in-home options where appropriate.

  • Do you provide language translation services?

    Yes. We partner with certified translation professionals through trusted providers. These translators are qualified to assist with official and legal documents.

  • Are there any discounts offered?

    Yes! We happily and proudly offer a 10% discount on standard notary services for senior citizens aged 55 and older. All discounts verified before services are rendered.

Our Military & Veterans

  • Who qualifies for Military and Veteran discounts?

    All active-duty military, veterans, and service-connected disabled veterans are eligible. Proper ID or documentation will be requested.

  • What services are eligible?

    All standard notary services. Discounts do not apply to Military / Veteran packages as it is already included.

  • What discounts are available?

    MILITARY: 15% off for all service members.

    HONOR: 20% off for verified disabled veterans or deployed service members.

  • How do I redeem the discount?

    Enter your applicable discount code (MILITARY or HONOR) during booking. Upload documentation if prompted.

  • Can I use the discount more than once?

    Yes! Your discount can be used on every visit, as long as eligibility is verified. Limited to 2 (two) discounted appointments per week.
